CosmoLex Launches AI Intake, a Breakthrough Feature That Automates Client Onboarding for Law Firms From First Click to First Consultation

Financial Post ·

WEST PALM BEACH, Fla. — CosmoLex, a leading cloud-based legal practice management platform, today announced a new set of AI-powered features headlined by AI Intake, a transformational capability that captures clean client data and automatically moves every intake forward without anyone touching it.

Client intake is the first, and often most costly bottleneck in a law firm’s client relationship. Manually built forms, re-keyed data, and disconnected follow-up processes routinely delay a firm’s response to new leads and create the risk of losing prospective clients in the shuffle. CosmoLex’s AI Intake is designed to remove that friction entirely, turning what has historically been a time-consuming, error-prone manual process into a seamless, connected experience, all within a single platform and without the need for a separate, third-party intake tool.

A welcome email is on its way. If you don't see it, please check your junk folder.

At the center of the launch is AI Intake, which uses artificial intelligence to instantly generate custom intake forms and convert existing legacy PDF and Word forms into digitally intuitive online forms that users can submit. Once a form is submitted, CosmoLex automatically maps the data to the correct contact and lead records, eliminating the need for manual re-keying and reducing the risk of costly errors.

From there, CosmoLex’s automated post-submission workflows take over. Triggered the moment a form is submitted, the platform can automatically handle document delivery, consultation booking, and follow-up communications, often the critical first 24 hours after a prospective client submits an intake form runs without anyone needing to manually triage it.

said Kelley Castell, CEO at CosmoLex. “By automatically generating the right forms, mapping the data correctly the first time, and kicking off follow-up the moment a form is submitted, firms can finally treat intake as a strength rather than a source of lost time and lost clients.”

AI Intake is joined by a broader set of AI features designed to reduce administrative work across the firm, including:

Building the right intake form for each case type has traditionally been an overwhelming task, even though the right questions are critical to reducing back-and-forth and administrative follow-up. With CosmoLex’s new AI builder, firms can simply provide a written prompt describing the information they want to collect, along with formatting, sections, and required fields. The AI form builder does approximately 95% of the work, generating a ready-to-use form that firms can review, adjust, and publish — all without requiring CosmoLex’s more robust CRM add-on.

Built directly into CosmoLex’s native document storage, this feature allows users to quickly understand what a document is about, surface key data points, and generate a bulleted outline — a highlight reel for even the longest documents.
